When a client says "send me the plan" (ابعتلي السيستم), they do not want a cropped screenshot or a long chat message full of numbers. They want a file they can open, read the down payment, the installment and the due dates, and show to their family. This page walks through the workflow in the CalcRealty app step by step, using the button names you will see on your phone, and says plainly what the file contains and what it does not.
Why a PDF and not a screenshot?
A screenshot arrives compressed and rarely shows the whole schedule. The PDF keeps the full table, with the date, amount and share of every payment, and it prints on A4 if the client wants to sit with it at home. It also stays in the chat as a document, so the client can find it a week later without scrolling through photos.
Before you start: two settings
Both are in the app under Settings, in the Preferences section:
- Language: the PDF comes out in the app language. For a client who reads Arabic, keep the app in Arabic and the file runs right to left. For a client who prefers English, switch the app to English before exporting and the file runs left to right.
- PDF layout: two choices. "One page (print)" gives a summary with a short table per year. "Multiple pages (detailed)" lists every installment with its date and amount. If you never change it, the app exports the detailed layout.
A tip between colleagues: for a client who is still comparing, one page is easier to read. For a client close to closing who wants to know when each payment falls, send the detailed one.
From calculation to file
- Open the Down Payment & Installments Calculator from "Available Calculators" on the home screen.
- Enter the Total Unit Price, the Down Payment (%) and the plan length, then pick the Installment Type (monthly, quarterly, semi-annual or annual). If the offer has a discount or a maintenance deposit, open Advanced Options and use the "Discounts and Deposits" section.
- When the results appear, tap Payment Plan. The Detailed Payment Plan screen opens with every payment and its date. An ad may appear as it opens.
- At the top of the screen, tap the PDF icon (Export PDF).
- If you are using the app as a guest, it asks you to sign in or create a free account, then brings you back to the same screen with your data. An ad may also play before the file is built, then you see "Exporting file...".
- Your phone's file picker opens with the title Select Save Location. This is the system "save as" picker that Android offers to apps. Choose a folder you can find again, such as Downloads, and save.
- A File saved message appears with two buttons: Open file and Done. Open the file and look at it once before you send it.
When the offer is more complex than the simple calculator
If the developer splits the down payment, steps the installments up, or adds extra payments and fees, use Build a custom plan below the calculator fields. There you can set the Contract date, then tap Payment plan to see the schedule. That screen has an option every consultant should use: Offer validity, with Not stated, One week, 14 days or 30 days. Pick a period and the PDF prints "Valid until" with the date, which saves you the "but you told me this price" conversation a month later. Export works the same way, with the same Export PDF icon and the same save steps.
In the simple calculator, the schedule dates start from the day you opened the screen. If the contract will be signed on another date, the custom plan is the one with a contract date field.
Sending it on WhatsApp
The app saves the file on your phone, and WhatsApp sends it from there. Two ways:
- From WhatsApp: open the client's chat, tap the attach button, choose to send a document, and go to the folder where you saved the file. Its name starts with
CalcRealty_payment_plan. - From the "File saved" message: tap Open file and the phone opens it in a PDF viewer. If your viewer has a share button, it brings up Android's share sheet, where you can pick WhatsApp.
The file is small and nowhere near the limit: WhatsApp announced in May 2022 that users can send files of up to 2 GB each.
What is in the file
| Part | Content |
|---|---|
| Header | The title "Payment Plan", with the CalcRealty name and logo |
| Key figures | Down payment, installment, total payments |
| Payment Details | Unit price, any discount, down payment, remaining amount, any maintenance deposit, installment type, number of installments and duration |
| Plan summary | Custom plans only, including "Valid until" if you set an offer validity |
| Schedule | Detailed: payment number, year, payment type, date, percentage, amount. One page: "Installments by year" |
| Footer | Issue date, page number and the calcrealty.com copyright line |
Under the details there is a fixed line: "Estimated schedule for planning. The developer contract sets the final amounts." Leave it there; it protects you as much as the app.
What is not in the file
The PDF does not carry your name, your company's name or logo, and it has no field for the client's name, the project or the unit number. The branding on it is CalcRealty. So the message you send with the file is where you introduce yourself and the offer.
A message to send with the file
Illustrative example; adjust it to the offer:
Good evening. Attached is the payment plan for the unit we discussed in (project name), (area and floor). The down payment, installments and dates are all in the file. The developer says this offer is valid until (date), and the final figures are set in the contract. If you would like to go through it together, a 10-minute call is enough; let me know a good time. (Your name, company)
Before you tap send
- Check the price, down payment percentage and installment type against the developer's official offer sheet.
- Make sure the maintenance deposit is calculated the way the offer states it. It is explained in Maintenance deposit and service charges.
- If there is a discount, confirm whether it applies before or after the down payment. The difference is in Down payment and installments.
- Make sure the app language matches the client's.
- Open the file and read the first page yourself.
If the client is choosing between two offers, export one file per offer and send them with a short comparison. The method is in Comparing two developer offers, and how to talk through a plan in the meeting is in Presenting a payment plan to a client.
Frequently asked questions
Do I need an account to export a PDF?
Yes. Calculations work without an account, but PDF export needs one. If you tap export as a guest, the app asks you to sign in or create a free account and then returns you to the same screen.
Can the PDF be in English while my app is in Arabic?
No. The file follows the app language at the moment you export. Switch the language in Settings, export, then switch back.
Will the file be one page or several?
That depends on the "PDF layout" choice in Settings. One page holds the summary and a short table per year; the detailed layout lists every installment with its date and amount over as many pages as it needs.
Can I add my name or my company logo?
No. The current version of the app does not add the consultant's or the company's name to the file. Introduce yourself in the message that goes with it.
Is there a faster option than a PDF?
For a quick reply, the calculator screen has a Copy Results button that copies the figures as text you can paste into the chat. A long press on the calculator screen also takes a screenshot with a preview and a Share button. The full dated schedule, though, is only in the PDF.
Run the numbers
The calculator takes the price, the down payment, a discount before or after the down payment, the maintenance deposit and the installment type, and builds a full schedule with the date, amount and share of every payment that you can export as a PDF. Get CalcRealty on Google Play, free, in Arabic and English. When a client asks about a term in the file, short answers are in the consultant's glossary of client questions.
Results are planning estimates; the developer contract sets the final amounts.
